Manage licenses


The MindManager License Admin Portal gives a snapshot of an organization-wide deployment, displaying a breakdown of total and available licenses by product. It also displays itemized account details for each end user, which allows for easy editing of the account.

License administrators can export a list of licensed users to a CSV file, which can be modified and re-imported. The file contains the user email address associated with the license, the last sign-in date, license status, and whether the license is part of a Microsoft Azure group.

To view status of all MindManager licenses

In the MindManager Customer Admin Portal, you can see the status, expiry date (Subscription licenses only), License Key, and a breakdown of total available and used licenses for each product associated with the account.
If you want to use Single Sign-on (SSO) authentication, click Setup SSO.

To search for users

1 In the MindManager Customer Admin Portal, type a name or email address in the User Search box.
The search covers all products associated with the MindManager Customer Admin account.
2 Click Details for any user found in the search to view account and license information.

To deactivate or remove a license

1 In the MindManager Customer Admin Portal, click Administrate for the product that you want to modify.
The administration page for the product displays expiry date, License Key, a breakdown of total available and used licenses for the product, and a list of users and their status.
2 On the administration page for the product, click the drop-down arrow in User Status column for a user, and choose one of the following:
Deactivate — denies user access to the product and prevents them from using the License Key for the product
Remove — denies user access to the product but does not prevent them from reusing License Key for the product

To deactivate, remove, or replace multiple users

1 Sign in to your MindManager Customer Admin Portal.
2 Click Administrate for the product that you want to modify.
The administration page for the product displays expiry date, License Key, a breakdown of total available and used licenses for the product, and a list of users and their status.
3 Click Add/Manage Users.
4 Enable one of the following options:
Replace — replaces users currently assigned a license with the users listed in the CSV file
Deactivate — denies users listed in the CSV file access to the product and prevents them from using the License Key for the product
Remove — denies users listed in the CSV file access to the product, but does not prevent them from using the License Key for the product
5 Click Import CSV.
6 Navigate to the CSV file, and click Open.

To deactivate, remove, or replace multiple users using automatic provisioning

1 Sign in to your MindManager Customer Admin Portal.
2 Click Administrate for the product that you want to modify.
The administration page for the product displays expiry date, License Key, a breakdown of total available and used licenses for the product, and a list of users and their status.
3 Click Add/Manage Users.
4 Enable one of the following options:
Replace — replaces users currently assigned a license with the users listed in the CSV file
Deactivate — denies users listed in the CSV file access to the product and prevents them from using the License Key for the product
Remove — denies users listed in the CSV file access to the product, but does not prevent them from using the License Key for the product
5 Click Automatic Provisioning.

6 Click Continue.

To export a license list to a CSV file

1 Sign in to your MindManager Customer Admin Portal.
2 Click Administrate for a product.
3 Click Export to export all license information for the product to a CSV file.
You can modify the CSV to add, remove, replace, and add users.

To notify users when the status of their MindManager changes

1 Sign in to your MindManager Customer Admin Portal.
2 Click Administrate for the account that you want to modify.
3 Click Settings.
4 In the License Communications area, enable the Send email notifications to users when licenses are added or revoked check box.
